Meeting Minutes
Tuesday, Aug. 12, 2008

Arms of the College of Lyonsmarche

Location: Lewiston, ID.

Called to order at 7:00 p.m.
In attendance: Phelan, Ceinwen, Hallgrim, Tova and Morgaina.

Old Business:

Ceinwen stepped down as Seneschal. Phelan has expressed interest. Is anyone else interested? No one came forward. Motion made and seconded that Phelan become the Lyonmarche's Seneschal. All approved, none opposed. Paperwork was filled out and signed by populace in attendance.

Tova will step down as Exchequer at the August meeting. Ceinwen has expressed interest. Is anyone else interested? No one else came forward. Motion made and seconded that Ceinwen become the College's new Exchequer. All approved, none opposed. Paperwork will be filled out at August meeting.

Fall Feast/Tourney event - Hallgrim and Tawny will be the autocrats. The feast will possibly be a potluck. Mistress Morgaina will be the Feast-o-Crat with Tova assisting. Date for event was discussed. Ceinwen is working to get Worley event site details for price and date in November. She will bring information to the August meeting.

Kingdom Largess Bags - Mistress Morgaina is putting in a bid for the Inlands Region to make largess bags for TRM to be used at inter-kingdom events.

12th Night will be in Eugene, Oregon.

An Tir Kingdom A&S will be held March 6-8, 2009 in the Barony of Wastekeep.

Lyonsmarche Fall Feast and Tourney Hallgrim and Ceinwen are still trying to get a response from the CDA tribe on renting the hall in Worley. If they can reserve it, it would be $25 for the day. They are looking at November 1st or 22nd for the Feast.

New Business:

Master of Stables: According to kingdom law we must have a Master of Stables, due to us hosting Honor War each year. Is anyone interested in being MoS? If not then Phelan could be MoS, with the understanding that he gets one vote at meetings even though he holds two major offices.

Discussion of Kingdom Law Article 6.B :(Branches smaller than a Barony) must have a Seneschal, Exchequer, and Master of Stables. If there is no fighting in the branch, the Master of Stables position may be substituted by either an A&S officer or a Herald. As we host Honor War, we need a Master of Stables. We must also maintain five paying members within the College to remain active. While shires and cantons dissolve if their member population drops below five, colleges, ports, and outposts simply go dormant.

Lyonsmarche Letter of Incorporation: We cannot find any copies of Lyonsmarche's governing document, either in the College archives or at Kingdom. We need to produce a governing document for our group. Is anyone interested in being on the writing/re-writing committee? Phelan passed out Wastekeep's Minor Carte as an example. Phelan and Hallgrim will work on getting more examples together for the next meeting.

Kingdom Seneschal/Exchequer Retreat: Phelan and Ceinwen would like to go to this retreat on the weekend of October 17. They asked the group if it could pay the $40 registration fee for each of them, which would cover meals and lodging. Hallgrim stated that it would be money well spent to increase networking and to learn more about what the positions entail in legal matters. Tova motioned to reimburse $40 to Phelan and Ceinwen for the retreat, Hallgrim seconded. A voice vote was 5 aye, 0 nae.

Tova stepped up as Chatelaine for Lyonsmarche. She volunteered to run Gold Key if no one else was interested.

Ceinwen stepped up as Exchequer for Lyonsmarche. Paperwork was filled out and signed by those attending the August meeting.

Honor War 2009: Anyone interested in autocratting Honor War should start working on their bids. We need to advertise this event in The Crier, and so we need to submit copy by late January in order to make it into the March/April issues. It is suggested that the last possible date for bid submissions would be the January 2009 Lyonsmarche meeting.

SCA Demos: We discussed several options for demos. One thought was to do a demo in the day use area at Hellsgate during Honor War, that way it is outside the camping area. Other potential demo times would be at Moscow's Ren Faire, Lewiston Dogwood Festival, Pullman's Lentil Festival, and at various fairs. For festivals we could potentially have a scheduled event, but for fairs we should probably have a booth, which would require people to staff it. All demos must be approved by Kingdom.

Lyonsmarche Web Page: We would like to take over the administration of our web page. We talked about several other groups' pages (wastekeep.org). We would like to have standardized emails for officers (seneschal@lyonsmarche.org for example) so that we can change the forwarding as officers change. This would also allow for caching of emails for the major offices when people change positions and no interruption in emails from Kingdom. Hallgrim said a typical setup that would include hosting, web space, and emails runs $7 to $15 per month. Tova said she and Tawny need to work on a proposal for the group.

Officer Reports

Senechal: New officer is Phelan. Ceinwen and Phelan attended the Seneschals' meeting at July Coronation. They will both attend the An Tir Administrative Retreat for Seneschals and Exchequers to be held October 17-19. Phelan and Ceinwen will have to go in to the bank to change the signature cards.

Exchequer: New officer = Ceinwen. No changes to the bank balance since July 2008 meeting.

A&S: Tawny was not present for the meeting.

Chatelaine: New officer is Tova attended a Chatelaines' meeting at July Coronation. Met other Chatelaines including An Tir Chatelaine Eric de Dragonslaire. At Silverhart's Defenders, Tova was able to chat with their Chatelaine, Sukie, and got several handouts that could be modified to be used by Lyonsmarche.
